Case Study: How MTD Training Streamlined Client Requests with Asana

Overview

MTD Training is a leading provider of management and leadership development solutions, working with clients across industries to deliver impactful, results-driven training. As demand grew, MTD needed a way to simplify how incoming DISC assessment requests and training program inquiries from clients were managed—from initial request to project delivery.

Using Asana’s forms, workflows, and portfolios, MTD Training built a seamless, automated system that transformed their client request process, improved internal visibility, and reduced administrative workload.



Challenge

Before adopting Asana, MTD Training handled incoming client requests manually through email.

 This created several issues:

  • Requests were easy to overlook or manage.

  • Key details from clients were often incomplete or inconsistent.

  • The team spent excessive time triaging requests and assigning ownership.

  • There was limited visibility into the status of requests across the organisation.

MTD needed a centralised system to:

  1. Capture client requests in a consistent, structured way.

  2. Automate intake and approval workflows.

  3. Link approved requests directly to active client projects.



Solution: Using Asana Forms and Automated Workflows

MTD Training implemented Asana to manage both DISC requests and training requests through structured, automated workflows.


1. Client-Facing Forms

Each request type—DISC Assessments and Training Programme—has a dedicated Asana Form.

  • The form links are shared directly via a URL.

  • Clients fill in essential details such as:

    • Organisation name

    • Contact information

    • Type of request

    • Number of participants

    • Preferred dates and outcomes

  • Upon submission, the form automatically creates a task in the workflow.


2. Centralised Request Workflow

All new programme requests land in a central “Incoming Programmes” project, where the operations team can review and triage submissions.

  • Custom fields track mode of delivery (F2F, Virtual, Blended), Client (Existing or New), and Programme Type (Repeat or New).

  • Automation allows the correct staff member to be notified

  • The team reviews the details, clarifies if needed, and approves the request when it’s ready to move forward.


3. Automatic Project Conversion

Once approved, Asana’s automation rules convert the request task into a new project using a pre-built template (DISC or Training).

  • The project inherits structure, timelines, and task lists specific to that service type.

  • The new project is automatically (again using rules) nested under the client-specific portfolio, giving leadership instant visibility into all ongoing work for that client.


4. Portfolio Management

Each client has a dedicated Asana Portfolio that aggregates:

  • All approved and active projects

  • Key milestones and progress

  • A timeline view of all projects.

This structure provides MTD with a client-level overview, allowing managers to track progress, resource allocation, and client engagement in real-time.

They have also begun to share these client delivery projects directly with their external trainers to showcase proof of delivery and process. Asana Guest Access provides them free guest licences as they are working from non MTD Email Address domains.

Phase Two

Phase two, commencing in 2026, will involve building custom reporting dashboards to include financial data and client request insights over time. We will also explore automations further, including AI smart rules, as well as AI status updates and goal tracking for the operations team. 

Later on, we look to expand into the marketing department, who work very closely with the clients.
